eBay → QuickBooks Online
Post eBay managed payments into QuickBooks Online
Turn eBay managed payments into one reviewed journal entry per payout. See sales, refunds, fees, holds, and the net deposit together, with clearing that explains the money reaching your bank.
Integration
What “eBay QuickBooks integration” means for managed payments
An eBay QuickBooks integration should connect managed payments activity to the net payout—not just import orders. ClearPayout works at the settlement layer so each deposit has a clear accounting trail.
Managed payments payouts vs order imports
An order total does not explain the deposit eBay sends. Managed payments activity includes refunds, final value fees, other charges, and amounts held or released. ClearPayout brings the reported payout split into one entry rather than creating a document for every order.
Why fees and holds change the bank amount
Fees reduce the payout, while held funds may reach the bank in a later period. Posting only gross sales leaves a difference against the deposit. Review the payout’s fees, holds, releases, and adjustments so the clearing amount reflects what eBay actually sends.
Integration
How ClearPayout posts one journal entry per eBay payout
Each eBay payout becomes a single reviewed journal entry in QuickBooks Online, with the net bank amount separated from fees and funds still held by eBay.
Sales, refunds, final value fees, and holds
Map sales to income, refunds to a refund or contra-income account, and final value fees and other charges to expense accounts. Where the payout report identifies holds or releases, review them separately from fees and map held funds to an appropriate asset account. A hold is not automatically an expense.
Review the deposit before posting
Check the payout split, account mappings, and residual clearing amount before pushing the entry to QBO. If the report does not explain a hold or adjustment, resolve the exception rather than forcing the difference into fees or income.
Integration
Connect eBay and map accounts
Use the eBay managed payments workflow with your QuickBooks Online chart of accounts. The demo provides sample payouts so you can review the entry and clearing match without production tokens.
Accounts you’ll typically map
Map sales income, refunds, final value fees and other marketplace expenses, an asset account for reported held funds where needed, and an eBay clearing account for the net payout. Keep the mapping aligned with your existing books rather than treating every deduction as a fee.
One clearing account per marketplace
Use a dedicated eBay clearing account, separate from Amazon and Walmart. For a positive payout, the journal entry debits clearing for the expected deposit. Record the bank deposit against that account so the payout clears to $0; funds still held remain separate until released.
Integration
From managed payments payout to matched bank deposit
A typical eBay → QBO run looks like this:
- 01Open the eBay managed payments payout, or a sample payout in the demo.
- 02Confirm sales, refunds, final value fees, other charges, and any reported holds or releases against the expected deposit.
- 03Review mappings and post one journal entry to QuickBooks Online with the net payout in eBay clearing.
- 04Record the arriving deposit against eBay clearing and match it in the bank feed. Review any remaining difference before closing the payout.
Integration
What this integration does not do
ClearPayout handles settlement posting only. It is not full eBay seller accounting software and does not replace your bookkeeping, inventory, or warehouse workflows.
No inventory / WMS, no per-order invoices, no QuickBooks Desktop
We do not sync stock, manage warehouse operations, post COGS or landed cost, or generate per-order invoices or Sales Receipts. We do not support QuickBooks Desktop. ClearPayout is the payout-to-bank reconciliation layer for QuickBooks Online, not an all-in-one seller back office.
